Privacy Policy

Last updated:

This Privacy Policy explains how TA8 Consultants Ltd, trading as TrackPay ("we", "us", "our"), collects, uses, stores, and protects your personal data when you use our website or enquire about our services. We are committed to handling your data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are

TA8 Consultants Ltd (trading as TrackPay) is the data controller responsible for your personal data. We are a company registered in England & Wales under company number 17276919.

  • Registered office: 41 Russell Drive, Nottingham, NG8 2BA
  • Email: info@trackpay.co.uk
  • Phone: 07459 537616

2. What data we collect

When you submit an enquiry through our website or contact us, we may collect:

  • Your name and business name
  • Your email address and phone number
  • Information about how your business takes card payments (such as monthly card turnover and your current provider)
  • Any other information you choose to include in your message
  • If you send us a merchant statement for review, the information contained within it

We may also collect limited technical data automatically when you visit the site, such as your IP address, browser type, and pages visited, where this is necessary for the site to function or for security.

3. How we use your data

We use your personal data to:

  • Respond to your enquiry and provide the comparison or quote you have requested
  • Review your current card payment arrangements and recommend suitable options
  • Arrange and administer any switch to a new provider where you ask us to
  • Communicate with you about your enquiry or our services
  • Meet our legal and regulatory obligations

4. Our lawful basis

We rely on the following lawful bases under UK GDPR:

  • Consent — when you submit an enquiry asking us to contact you.
  • Legitimate interests — to respond to your request, provide our brokerage service, and operate our business, provided your rights do not override these interests.
  • Legal obligation — where we must process data to comply with the law.

5. Sharing your data

We are an independent broker. Where you ask us to arrange a quote or switch, we will share the relevant details with the card payment provider(s) you choose so they can prepare an offer or set up your account. We only share what is necessary, and we will make clear which provider your information is going to.

We may also share data with service providers who help us run our website and communications (for example, our form-handling and email providers), and with authorities or advisers where we are legally required to do so. We do not sell your personal data.

6. Form submissions

Enquiries submitted through our website forms are processed by FormSubmit, a third-party form-delivery service, in order to reach us by email. By submitting a form, you understand your details will be transmitted through FormSubmit for delivery to us. You can review their handling of data at formsubmit.co.

7. How long we keep your data

We keep your personal data only for as long as necessary to respond to your enquiry and, where you become a client, for as long as needed to provide our service and meet legal and regulatory requirements. When data is no longer needed, we delete or anonymise it.

8. Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you
  • Ask us to correct inaccurate or incomplete data
  • Ask us to delete your data in certain circumstances
  • Object to or restrict our processing of your data
  • Withdraw consent at any time, where we rely on consent
  • Request a copy of your data in a portable format

To exercise any of these rights, email us at info@trackpay.co.uk.

9. Complaints

If you have a concern about how we handle your data, please contact us first so we can try to resolve it. You also have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority, at ico.org.uk.

10. Changes to this policy

We may update this policy from time to time. The latest version will always be available on this page, with the "last updated" date shown above.
